It takes time, effort, and concentration — not to mention attention to detail and legal compliance — to craft an effective job announcement. That’s why HR professionals are turning to artificial intelligence to help them track and assemble the pieces of successful recruiting announcements and job descriptions. This frees human teams to concentrate on other higher-level tasks.

From Data to Job Descriptions

There is a thoughtful and appropriate way to use AI for this part of the recruiting process. In response to a talent acquisition professional’s prompt, generative AI can produce a high-quality and easy-to-edit job description. AI’s utility lies in its ability to synthesize information and text quickly and coherently through natural language processing (NLP).

NLP blends computational linguistics anchored in the rules and structures underlying human language with machine learning techniques and deep learning capabilities. Its efficiency in producing readable text on any subject has proven to be a game-changing asset to companies worldwide. NLP supports computer-assisted translation from one human language to another and gives AI systems the ability to respond appropriately to human commands.

Computer-Assisted Language Assembly

Generative AI rapidly synthesizes information pulled from other job descriptions posted online. It modifies this data by bringing in the keywords and other pertinent information best suited to creating a new description optimized for a specific job.

With the help of an AI assistant, humans can parse through enormous data sets and end up with documents in a variety of requested formats. The increasing sophistication of these programs has now made them capable of “understanding” nuance, subtext, and shades of meaning in human language. This is huge asset whenever the goal is to produce authentic-sounding, user-friendly text.

Given the quality of these systems, the job descriptions they produce can use engaging language designed to draw in the best-qualified candidates, helping a recruiter to know that their job ad will stand out among others in their field.

A Multitasking Assistant

When used to their fullest capabilities, NLP and generative AI offer HR teams the chance to experience an exponential boost in productivity. AI can produce a basic job description in minutes. Most HR professionals who incorporate generative AI into the creation of their job postings see it as a “co-pilot” in the recruitment process. After the AI is given information on the job title, work site, and the qualifications, education, and experience needed, it can assemble data from a wide range of sources — including résumés of previous successful candidates — to articulate the precise set of characteristics the best candidates will possess.

A human can then review and further refine the job description to make it more specific or more natural-sounding. The more experience the AI gains producing job announcements for a particular company, and the more access it has to document such as in-house and competitors’ previous job descriptions, the better it will become at replicating the tone, voice, and values of that company.

The Advantage of ChatGPT

As of this writing, ChatGPT by OpenAI offers the best-known and perhaps most widely used advanced AI natural language processing system. This next generation chatbot is designed to closely mimic human ideation and phrasing as it engages with human users to create texts based on their prompts. It’s proven to be exceptionally good at writing job descriptions.

Recruiters report that ChatGPT has produced editable first drafts, summarized ideas succinctly, given them different perspectives, enabled them to keep language consistent across a variety of job postings, and helped them save time and energy when producing multiple or complex descriptions for large batches of job openings.

A ChatGPT Job Description Playbook

Some tips for leveraging the abilities of ChatGPT to create the most useful job descriptions:

Clearly articulate the job title, the scope of the position, and where it falls in the organizational hierarchy. In addition, you’ll need to identify the core competencies needed to do the job successfully and the precise day-to-day duties your successful candidate will be responsible for.

Create an outline for ChatGPT describing items that must be included in your job description or announcement. These might include essential skills or experience, or they might focus on how a candidate will need to demonstrate values associated with your existing corporate culture. The more precise you are in your instructions, the better the draft ChatGPT will produce. You can even ask it to offer keyword suggestions as you refine your queries.

Based on the information you come up with, input a prompt and give the chatbot any further directions about what you want it to do. It should take no more than a few seconds to receive a response. Read through the response, checking it for accuracy and adherence to your instructions. Evaluate whether the response uses the keywords you want in your job posting.

Edit the response as needed to make it conform better to your desired result. At this point, you also have the option of asking ChatGPT to refine or redo the work to your further specifications. Run the result through your current screening systems addressing issues of grammar, spelling, house style, and bias-free language. Ask for feedback on the job description from a diverse group of employees to help further remove any bias that might be present.

You can re-feed your edited versions back to ChatGPT as needed until you get the result that best fits your vision of the job description.
